What it does
This is the mailbox itself: a rail of folders and labels on the left, a dense conversation list, and a reading pane, the same client whether it's opened at the mail door or inside the application for a workspace member with a grant. It supports folders, labels, search with operators, snooze, schedule send, templates, filters, a vacation responder, and an AI assistant, though your administrator can switch any of those off, in which case that control simply doesn't appear.
Before you start
You need a mailbox that's been created or granted to you. See Signing in to your mailbox if you haven't reached your inbox yet.
Set it up, step by step
- Read the rail on the left: Inbox, Drafts, Sent, and Starred are always there; click "More" for Junk, Trash, and Archive. Your own folders and colour-coded Labels (which nest under each other) sit below; click the + next to either to create one.
- Click Compose, or the pencil button on a phone, to open a floating composer. Fill in To (Cc and Bcc appear when you click those links), a Subject, and write in the rich text box. Click the paperclip to attach files: up to 10 files, 10 MB each, 15 MB total; anything larger is put in Files automatically and a link is inserted instead. Click Send, or the arrow beside it to schedule the send for later.
- Open a conversation to read it. Click Reply or Reply all to answer inline at the bottom, or Forward to send it on; both open a small editor right there, with ⌘/Ctrl+Enter to send. "Open in a window" pops the same reply out into a full composer.
- Search using the box at the top: plain text, or operators like
from:,to:,subject:,is:unread,is:starred,has:attachment,after:2026-09-01,in:sent, andlabel:name. The quick chips under the search box cover Unread, Starred, and Has attachment. - Select one or more conversations with the checkbox that appears on hover (or swipe a row on a phone) to Archive, Delete, mark Read or Unread, Star, Label, or Move them as a batch.
- Click the trash icon (or press #) to move a conversation to Trash. Inside Trash, click "Empty Trash now" to remove everything in it for good.
- Open Settings (the gear icon) → Signature to write what's appended to new messages. Turn on "Signature on replies and forwards" under the General tab if you also want it there. Add or change Your picture from the same General tab; it's shown on your messages to everyone reading mail here, though Gmail and Outlook use their own contact photos instead.
- If your administrator requires approval before mail leaves your mailbox, using Forward doesn't send at once. The message is parked, and you'll see it under Scheduled with "waiting for your administrator's approval" until they decide. Nothing extra to request; forwarding itself is the request.
On a phone, the rail becomes a drawer you open with the menu button, rows stack sender, subject and snippet on separate lines, and swiping a row left or right does what the hover buttons do on desktop: right to archive, left to trash (Trash itself has no swipe, so a slip of the thumb there can't delete something forever). Pull down at the top of the list to refresh.
What you should see
Unread conversations are bold with a solid background; read ones are lighter. A paperclip marks attachments, and the small reply arrow (↩) shows you've already answered a thread. The connection indicator near the top right shows a Wi-Fi icon when live updates are connected.
Common problems
If a large attachment won't go through, it's likely over the 10 MB single-file or 15 MB total limit. It should switch to a Files link on its own; if Files are off for your workspace you'll be told the attachment is simply too big. A masked contact shows a name instead of an address; click "Show addresses" under that message to reveal it once, which is written to your workspace's activity log.
