From a template and a clause library to a signed copy, without leaving the platform.

What it does

Two linked nav entries in emailcampaign.ai (Campaign Cloud in-app) cover this: Documents (/documents) is a filterable list of every proposal, contract, and quote, with columns for status, template, signer count, sent date, and signed date. Contracts (/contracts) opens Contract Studio, where you actually create and manage them — a status-tab view (draft, awaiting approval, sent, viewed, signed, declined, voided, expired) plus the New document form.

Creating a document means starting from a saved template or writing one blank, with merge fields like {{client_name}}, {{company_name}}, {{deal_name}}, {{deal_value}}, and {{workspace_name}} that fill in from the linked deal. You name at least one signer (name and email) before you can save a draft. A document never sends on its own: you click Request send approval, which files an approval request — see Automations and approvals — and nothing goes out until someone with the right permission grants it. Once approved, each signer gets their own signing link, shown on the document page so you can resend it yourself if needed. When every signer finishes, the document status becomes "signed," a signed PDF is archived, and a completion certificate becomes available. You can Void a draft, sent, or viewed document at any point, which blocks it from being completed.

Templates (/contracts/templates) hold reusable bodies by kind — proposal, contract, quote, NDA, service agreement, or order form — each created with the standard merge variables already attached. Clauses (/clauses) is a searchable library of approved legal language, tagged and marked approved or not, with a count of how many documents use each one — but the app has no button to add, edit, or approve a clause; the library is populated from outside the product.

The public sign page (/sign/<token>) is what a signer actually opens. It shows your workspace's brand (logo and name, if a brand kit is set), the document text, a field for their typed full legal name with a cursive signature preview, a consent checkbox with wording your workspace configured, and Sign or Decline buttons. The page states plainly that the signer's name, IP address, and timestamp are recorded as their electronic signature.

Before you start

  • Viewing a document (and its signing links or certificate) only needs the baseline "view dashboard" permission.
  • Creating a document or a template — and viewing the Templates page at all — needs the "manage contracts" permission.
  • Requesting send approval and voiding a document need the "send contracts" permission. A separate approval permission is required to actually grant the send; see Automations and approvals.
  • A document needs at least one signer with a valid email before it can be created.

Set it up, step by step

  1. Go to Contracts in the left navigation to open Contract Studio, or Documents to browse what already exists.
  2. If you want a reusable starting point, open Templates, enter a template name, pick a kind, and click Create template.
  3. Back in Contract Studio, click New document. Choose Start from a template or "Blank document," pick the linked Deal, and enter the signer's name and email.
  4. For a blank document, enter a Document title and write the Document body (at least a couple of sentences) — merge fields are typed directly into the text.
  5. Click Create draft, then review it on the document page.
  6. Click Request send approval. Once someone approves it, the signer receives their link automatically; you can also copy it from the Signing links card.
  7. Track progress on the Status timeline (Sent, Viewed, Signed, Declined, Voided). Once signed, open the completion certificate link on the document page.

What you should see

A newly created draft shows the "draft" status pill and no signing links yet. After approval, the Signing links card lists each signer with their own status pill and a Copy link button. The document preview renders the merged body with a pricing table and total when pricing rows exist. Once signed, a "Signed archive" card appears with the stored file key and a certificate ID. The public sign page shows "This document is signed" instead of any form after the recipient finishes.

Common problems

  • Request send approval is missing. The document is not in "draft" or "internal_review," or your role lacks "send contracts."
  • You can't see Templates or create a document. Your role lacks "manage contracts" — the Templates list itself needs it too, not just document creation.
  • A signing link says the document is no longer available. The document was voided, expired, or already completed; a new document has to be created.
  • You expected to add a clause and there is no button. Clauses can only be viewed and searched in the app today, not created, edited, or approved from the UI. [VERIFY: how new clauses actually get added to the library]
