What it does

/tasks (Campaign Cloud, in the app's own sidebar) is a single list for tasks from a meeting, a reply thread, a contract, or a campaign — created by a person, AI, or the system. Visiting /reminders sends you to this same page; there is no separate reminders screen. What the app calls a reminder is simply a task with a due date, and one of the AI-suggested task types is literally named "Set reminder" (it takes a phrase like "remind me Friday" from a meeting and turns it into a due date and time).

The page shows three tiles — Open, Overdue, Completed — and a filterable list below them. Each task shows its source (user, ai, or system) and priority as small pills, an "overdue" pill when it is past due, its due date and time, and links to the meeting or deal it came from when it has one. You can filter by status (open, in progress, blocked, done, overdue) and toggle "Assigned to me". A dropdown on each task assigns it to a workspace member; a button marks it done (or reopens it).

When AI extracts an action from a meeting transcript, it does not appear as a normal task right away. It lands in a "Waiting for your go" panel above the list, with a confidence percentage. Nothing runs until you act on it: Preview shows exactly what running it would do (whether it has an external side effect, an internal-only one, or none, and whether it is ready or blocked), and Do it is the click that grants permission to run it. Dismiss removes the suggestion without running it. This mirrors the rest of the product's approval-first approach — see Automations and approvals.

Before you start

  • Viewing, creating, completing, and reassigning tasks only needs the baseline "view dashboard" permission.
  • Running an AI-drafted suggestion with Do it needs the "manage meetings" permission on your role (Settings > Roles shows permissions with this exact wording). Preview and Dismiss do not.
  • The overdue count shown next to Tasks in the left navigation uses the same definition as the Overdue tile on this page, so the two always match.

Set it up, step by step

  1. Go to Tasks in the left navigation (/tasks). /reminders takes you to the same place.
  2. To add a task by hand, type a title in the field at the top right and click Add task. New tasks this way are due in 48 hours; there is no field to pick a different due date, priority, or assignee at creation.
  3. To assign a task, use the dropdown on the right of that task's row and pick a workspace member, or leave it "Unassigned".
  4. To narrow the list, click a status chip (open, in_progress, blocked, done, overdue) or toggle Assigned to me.
  5. When a task is finished, click Complete. Click Reopen on a completed task to put it back on the list.
  6. If an AI suggestion is waiting in the panel above the list, click Preview first to see what it will do, then Do it to run it, or Dismiss to discard it without running it.

What you should see

The three tiles at the top update with your workspace's live counts; Overdue turns red when it is above zero. Tasks with no due date show no due-date text. A task created from a meeting shows a "meeting →" link, and one tied to a deal shows a "deal →" link, next to its pills. An AI suggestion's Preview expands into a small panel showing its resolved details (for a reminder, the date and time it parsed) and says "ready" or "blocked" with the reason. If nothing matches your filters, the list shows "No tasks match these filters" instead of an empty table.

Common problems

  • Do it is greyed out or fails. Your role lacks the "manage meetings" permission needed to execute AI suggestions; Preview and Dismiss still work.
  • A "Set reminder" suggestion did not send anything. It is not supposed to — running it only sets a due date and time on the task itself (an internal change). If it could not parse a time phrase, it defaults to tomorrow at 10:00, which the Preview panel notes as "time not parsed."
  • You can't set a due date, priority, or assignee while creating a task. The quick-add field only takes a title (fixed at due-in-48-hours). Set the assignee afterward from the row dropdown; there is no priority or due-date control on this page for manually created tasks.   • A task you expected from a meeting never appeared. AI-extracted tasks that need approval sit in the suggestions panel, not the main list, until someone runs or dismisses them.
