Meetings and booking links

Let a prospect book a time without the back and forth, in their own time zone.

What it does

In emailcampaign.ai (the app's own sidebar calls it Campaign Cloud once you're signed in), /meetings no longer has its own page. It redirects to /recordings?tab=calendar — the Calendar tab of the page titled Recordings in the left navigation (under Revenue). There is no separate "Meetings" link in the navigation.

The Calendar tab connects a Google account so emailcampaign.ai can read its calendar (a calendar-only connection, kept separate from any mailbox you send from). Once connected, each of that account's calendars shows up as a feed with its own status and a meeting count. Below the connected calendars, an Agenda lists your upcoming meetings grouped by day, each with a status badge, a Record button when the notetaker can join, and an Open button once a meeting has a recording. The public /booking page is a different thing entirely: it is emailcampaign.ai's own "book a demo" page on its marketing website, used by visitors who want to talk to the emailcampaign.ai team — not a scheduling link you generate and send to your own prospects. There is no feature in the product today for creating a personal or team booking link. A visitor who books a demo gets a confirmation email with a private link to a page at /booking/<token> where they can view, reschedule, or cancel that one booking. Managing the queue of these bookings, and the defaults the booking flow uses (auto-confirm, host assignment, reminder timing, notice period, the confirmation email text), lives under Settings, but that page is restricted to platform staff with the "Support desk" capability — most workspace users and even workspace admins will not see it.

Before you start

  • Connecting or reconnecting a calendar needs the "manage provider connections" permission on your role.
  • Viewing the Calendar tab, syncing, and recording a meeting from it need the "manage meetings" permission.
  • The calendar connection only reads events — it does not use that account to send mail.
  • If you were hoping to send prospects a link to pick a time on your own calendar, that does not exist in the product yet. The only public booking page is emailcampaign.ai's own demo request page.

Set it up, step by step

  1. Click Recordings in the left navigation, then open the Calendar tab (or visit /meetings, which lands you there).
  2. Click Connect Google Calendar and sign in with the account whose calendar has your meetings.
  3. Once connected, each calendar under that account appears as a feed. Use the segmented control on a feed to set its recording rule — Off, All, External, Internal, or Opt-in — or Pause/Resume to stop or restart watching it.
  4. Click Sync now at any point to pull the latest events instead of waiting for the next automatic sync.
  5. Scroll to Agenda to see upcoming meetings by day. Click Record on a meeting to send the notetaker, or Open to jump to one that already has a recording.
  6. If a calendar shows "Reconnect needed," click Reconnect and sign in again — Google periodically requires this.

What you should see

A newly connected account lists its calendars with a meeting count and either "never synced" or a "synced" timestamp. The Agenda groups meetings under day headings (for example "Monday, 22 Sep") in your local time, each row showing the time, title, and a Meet chip when the meeting has a video link. Record only appears on a meeting that has a Meet link, is not already being recorded, and whose recording policy is not disabled. If nothing is connected yet, the Agenda says "Connect a calendar to see your agenda" instead of showing an empty list.

Common problems

  • No Connect Google Calendar button, or the Calendar tab looks empty. Your role is missing "manage meetings" or "manage provider connections" — ask an admin to check Settings > Roles.
  • A calendar is stuck on "Reconnect needed." Google invalidated the connection; click Reconnect and sign in again. Meetings on that calendar will not sync or be recorded until you do.
  • A meeting has no Record button. It has no Meet link, its recording policy is disabled, or it is already being recorded — check the state badge next to it for the reason.
  • You expected a "your booking link" feature and can't find it. It is not there. The only booking page in the product is emailcampaign.ai's own demo-request page for visitors to its marketing site.

A first email rarely should. One link at most, and a plain sentence proposing a time usually beats a calendar widget from a stranger. Save the booking page for the reply.
